HANDOUTS will be welcomed at paper presentations, poster and workshop sessions. They will be particularly useful due to the nature of multilingual background of the participants of this conference. Please understand that presenters are expected to bring their own copies of the handout. We estimate that 30 copies should be more than enough for each session.
Each presentation room is equipped with a PC (English Window XP and Office XP version 2003) connected to a LCD projector and a screen. Windows Media is available in each PC so you can play multimedia files if necessary. Please make sure that the files are saved on the Windows XP version. You may bring your files (e.g. PowerPoint) in a memory stick (USB) or a CD/DVD and download to the computer before the session starts. To ensure that all sessions can start on time, we appreciate if you can arrive at least 15 minutes in advance for the preparations.
We would like to provide the following information to assist your preparation of presentations.
PAPER PRESENTATIONS
There will be three 120-minute concurrent sessions on July 7 and July 8: Paper Presentations (I) and (II). (Please refer to the website for exact date and time.) During each session, six paper presentations will be conducted. Each presentation is allocated 15 minutes, followed by a 5-minute “Question & Answer” session for each presenting team. Although there will be a chair at each session to moderate the process, we would appreciate that each presenting team will not exceed the allocated time limit in order to be fair to everybody.
POSTER PRESENTATIONS
Poster sessions are a great format for presenting research, programs, or works-in-progress in a more intimate and interactive setting. Presenters have the opportunity to engage in a series of one-on-one discussions with colleagues interested in their topics. Each presenter prepares a visual display of their own works, which is attached to a bulletin board (provided for them). These visual displays cue other participants about the topic of the poster through large print and, where appropriate, graphics. Handouts can also be used to provide more details or remind colleagues of their conversation with the presenter . We estimate that 30 copies should be enough for this . The Poster Sessions takes place in the hallways of Charmchuri 5, on Tuesday, July 8 th , at 11:00-12:00 a.m.
Please note that each poster is assigned a number, for example, A01, B01, B02….etc. according to the country. Please check your team's poster number from the Conference Program and set up your poster on the corresponding display board .
DETAILED INSTRUCTIONS FOR THE POSTER PRESENTATIONS
Because of the unique nature of poster sessions, we offer the following suggestions for creating and displaying your materials:
1.
The display area of each poster is approximately 80 cm (W) x 100 cm (H), which is a vertical orientation only. All presenters need to bring a ready-for-display poster of your presentation content and any stationary or materials necessary for putting up their posters. There will not be any supply of materials at the conference.
2.
The poster title, author's name and institute should be displayed clearly at the top-center of the display board. Use a font size that is large enough to be seen several feet away.
3.
Poster sessions are by nature visual. As you prepare your materials, focus your attention on creating a display that is visually engaging. Consider the use of variety in color and texture as you create a presentation that will be both appealing to the eye as well as stimulating to the mind.
4.
Clearly state your most important points in font size large enough to be easily read from a short distance.
5.
Cite and reference any sources of information other than your own, just as you would do with a research paper. The "References Cited" should be placed at the end of the poster
6.
You may use visuals such as photos, pictures, graphs, etc.. Each visual should have a brief title, clearly labeled and integrated with the text.
7.
The interaction between you and the participants should be the most dynamic feature of the poster session. Be prepared to invite questions and encourage discussion.
8.
Presenters can start to set up from earlier in the morning on July 8 th and should take off the posters on the last day of the conference.
9.
Have some handouts with further information or details that participants can take with them. Be sure to include your contact information on the handouts—or, provide business cards.
Important guidelines for preparation of conference sessions.
•
Your session should have clear objectives/learning outcomes.
•
Engage your audience by speaking to them, and with them, rather than reading from a prepared text.
•
Speak slowly and clearly.
•
Allow lots of time for questions and interaction; during the session is usually better than waiting until the end. Provide opportunities for conference participants to engage actively in the session by doing, talking and reflecting to learn ideas that they can apply at their own colleges and universities.
•
Think of your session as an opportunity to receive feedback, rather than merely telling people about what you have found or the ideas you have.
•
Check with your audience from time to time to see if they are able to understand what you are saying.
•
Be sure to explain all acronyms and institutions or organizations specific to your country or situation.
